Paying for stuff

There are three ways to pay for stuff out of your sports funds. We recommend invoicing the SU if possible, as this means you do not have to pay for your items out of your own pocket. However, we understand that this won't always be possible.

Invoice

If you're making a large purchase, you will often be able to acquire an invoice so you do not make the payment upfront. These often expire after 28 days, so please check how long you've got to make the payment so we don't miss it!

How does the SU pay my invoice?

1 Please print the invoice once the company have sent it to you.

2 Bring the invoice to Goldsmiths Students' Union reception and clearly write which sport you are from at the top (or email will be accepted).

3 The payment will be made on the Friday of the week the invoice was submitted(Is submitted by Thursday midday).

We will notify you if there is any problems with payment

BACs Payment

If you are able to make a purchase from your own money (usually for items that are up to£50), you can be reimbursed through a BACs Payment.

What is a BACs Payment?

A BACs payment is when you bring in your receipt and we make a direct bank transfer into your account to reimburse you.

For smaller purchases which you can make, bring receipts to the SU Welcome Desk. The receptionist can get the paperwork ready for a BACS payment to be made and billed directly to your internal SU account. BACS payments are made every Friday, so please make sure the invoice is received by Thursday afternoon.

SU Credit Card (Please DO NOT rely on this method of payment)

The Activities Team has a credit card with a limit of£2000 per month which is split between sport and societies (£1000 each). The Credit Card is for larger or multiple purchases over the value of£50. You will be expected to provide a complete breakdown of the item/s, a link to where you would like to purchase the item/s from and date you require the item/s.

Important information:

• Some months will be busier than others for payments, so please plan in advance for items that cannot be invoiced or purchased by yourself. Otherwise, you may end up disappointed if there is no money left on the card until the next month!

• This payment method will take the money from your club bank account so you do not need to worry about making any transactions.

• Any items purchased through this method will be automatically delivered to the SU unless you state otherwise.

• Please keep a track of any payments made this way through your finance spreadsheet.
